This privacy policy explains how CaterKing Ltd (“we”, “us”, “our”) collects, protects, uses, and shares personal information when you use our website, mobile app, phone, or in-person services. We are committed to safeguarding your personal data under the UK GDPR and the Data Protection Act 2018.

1. Who we are

“CaterKing Ltd” is the company providing wholesale food and beverage services.

“Customer” means any individual, business, organisation, or legal entity engaging with us via our website (www.caterking.co.uk), mobile applications, phone, or in person.

“Personal Data” includes any information that identifies you, such as your name, address, email, phone number, business details, and payment-related information.

2. Data we collect

We collect the following types of personal information, depending on how you use our services:

  • Account details: name, email address, phone number, job title, and login credentials when you register or are invited as a customer.
  • Business information: business name, delivery and invoice addresses, contact names and numbers, and trade account references.
  • Purchase history: orders, order contents, delivery or collection preferences, special requests, and related communications.
  • Payment information: payment method selected (for example bank transfer), payment status, and related accounting records. We do not collect or store full card numbers in the CaterKing mobile app.
  • Correspondence: emails, phone call records, and support messages for quality assurance and issue resolution.
  • Technical data: IP address, browser or device information, app version, authentication tokens, cookie preferences, and usage data needed to operate the website and app securely.
  • Optional device features: if you are an administrator uploading catalogue images, camera or photo-library access may be used for that purpose only. Delivery features may use a postcode look-up via Google Maps Geocoding; we do not require continuous device GPS tracking to place orders.

3. How we use your data

Your data is used for purposes such as:

  • Registering and managing your account and linked businesses.
  • Processing and fulfilling orders, deliveries, and collections.
  • Applying trade pricing and account-specific offers.
  • Communicating about your account, orders, and service updates.
  • Improving our website, app, and customer experience.
  • Sending promotional materials where you have consented (you can opt out at any time).
  • Fraud prevention, security, and legal or regulatory compliance.

4. Cookies

We use cookies and similar technologies on our website. Cookies do not typically contain information that personally identifies you on their own, but personal information we store about you may be linked to information obtained from cookies.

Necessary / essential cookies support login, security, and core storefront features. Functionality cookies remember choices such as language or cookie consent. Analytics or non-essential cookies are only set if you accept them via our cookie banner.

You can control cookies in your browser settings. Blocking essential cookies may prevent parts of the site from working. More detail is available from your browser’s help pages (Chrome, Firefox, Safari, Edge, and others).

5. Marketing

We may send marketing materials by email, SMS, or post where permitted. You can opt out by using the unsubscribe link in marketing emails or by contacting us using the details below.

6. Sharing and securing your data

We share personal data with trusted service providers only where needed to operate our services, for example:

  • Hosting, email delivery, and infrastructure providers.
  • Maps / address look-up (Google Maps Geocoding) when you use postcode-based delivery features.
  • Payment processing, banking, and credit-check partners where applicable.
  • Fraud detection, professional advisers, and authorities where required by law.

7. Data security

We use encryption in transit (HTTPS), restricted access controls, hashed passwords, and other safeguards appropriate to the sensitivity of the data. No method of transmission or storage is completely secure; please contact us immediately if you suspect unauthorised access to your account.

8. Access and retention

You can request a copy of the personal data we hold about you by emailing admin@caterking.co.uk with the subject “Access Request” and enough detail for us to verify your identity (for signed-in app users, a subject-access export is also available via our systems).

We retain personal data only as long as needed for the purposes described in this policy, or as required by law. In particular, order and accounting records may be retained for up to six years (or longer if required) to meet UK tax, accounting, and dispute-resolution obligations. After account deletion, remaining order records are kept in anonymised or minimised form where possible.

9. Account deletion

If you have a CaterKing account (website or mobile app), you can request deletion of your account and associated personal data.

In the CaterKing mobile app: open Profile → Delete Account, type DELETE to confirm, and submit. This permanently removes your ability to sign in and deletes or anonymises profile and business contact details linked to your login.

On the website: sign in at https://caterking.co.uk/delete-account, type DELETE to confirm, and submit. This uses the same account-deletion API as the mobile app.

If you cannot sign in: email admin@caterking.co.uk with the subject “Account Deletion Request” and the email address registered to your account.

What we delete or anonymise: login credentials, profile details (name, email, phone), linked business contact and address fields where they belong to your account, carts, favourites, and active sessions.

What we may retain: order and invoice-related records needed for legal, tax, fraud-prevention, or accounting purposes. Those records are retained only as long as required and are no longer tied to your usable login identity after deletion.

We aim to complete deletion requests within 30 days (in-app and signed-in web deletion usually complete immediately). You will receive confirmation when a manual email request is finished. Freezing or temporarily disabling an account is not a substitute for deletion.

10. Your rights

Under UK data protection law you may have the right to access, correct, erase, restrict, or object to certain processing of your personal data, and to data portability where applicable. You also have the right to complain to the Information Commissioner’s Office (ICO). To exercise these rights, contact us using the details below.

11. Children

Our services are intended for trade / business customers and are not directed at children under 16. We do not knowingly collect personal data from children.

12. Changes to this policy

We may update this policy periodically. The updated version will be posted on this website (and reflected in the mobile app). Continued use of our services after changes are posted constitutes awareness of the revised policy. The “Updated” date at the top of this page shows when it was last revised.
